Overview
What's Included
To maintain strict legal boundaries and operational clarity, the following elements fall entirely outside our planner scope unless explicitly modified via contract revisions:
- Financial Guarantees — Serving as a legal cosignatory or financial guarantor on any venue, catering, or third-party vendor contract.
- Private Shopping Blocks — Attending private alteration trials, independent jewelry shopping tours, or styling trips for extended family members.
- Creative Performance Curation — Managing direct dance choreography sessions or directing specific artistic photography framing styles.
- Direct Guest Logistics — Conducting outbound manual RSVP phone tracking operations or arranging individual transport grids for guests.
- Manual Labor Tasks — Supplying direct personal property security, performing manual bartending shifts, or executing physical DIY construction work.
Event Requirements
- Base packages apply to Colombo and Negombo locations
- Outstation events may include travel and accommodation charges
- Events exceeding 700 guests require additional coordination resources
- Outdoor and complex venues may include additional charges
Planning & Coordination
- Maximum three physical planning meetings included
- Additional site visits charged separately
- Standard event-day coordination covers up to 6 hours
- Extended working hours may incur additional charges
Team & Communication
- Dedicated team of 2–3 coordinators manages each event
- Host provides meals or agreed allowances for event staff
- Official communication is maintained through a dedicated client WhatsApp group
Client Responsibility
- Client remains responsible for agreements with external vendors
- Upgrades are permitted after booking confirmation
- Downgrades are not available after deposit confirmation

Every Island Elegance package includes a structured four-phase execution process to ensure smooth operations and a memorable celebration.

Phase A
Morning Logistics & Preparation
- Monitor arrival schedules of the couple, family, artists, and suppliers
- Receive and manage event materials, consumables, and guest favours
- Brief and position ushers to maintain punctuality and smooth guest flow

Phase B
Venue & Ceremony Setup Management
- Verify décor, marquees, lighting, and venue styling according to approved designs
- Check seating layouts, table arrangements, place settings, and welcome areas
- Coordinate registration areas, ceremony spaces, and religious requirements
- Manage arrivals and sound checks for:
- Officiants
- Cultural dancers
- Musicians and entertainment teams
- Coordinate processions and ceremony activities

Phase C
Reception & Celebration Management
- Coordinate grand entrances with venue teams, musicians, multimedia crews, and the Emcee
- Manage audio-visual requirements, videos, and background entertainment
- Supervise key programme moments:
- Traditional oil lamp lighting
- Cake cutting
- Speeches
- Performances and dancing
- Special entertainment activities
- Ensure accurate timing of food, beverages, and guest services

Post-Event Wrap-Up
- Secure and hand over gifts, portraits, signature boards, and personal belongings
- Coordinate venue payments and staff arrangements on behalf of the host
- Supervise vendor dismantling and safe return of rented items
